How to insert new blank Cells in Excel worksheet

 

Sometimes you may want to insert blank Cells in Excel worksheet. This tutorial lesson explains how to insert new blank Cells in Excel worksheet.

To insert new blank Cells in Excel worksheet, follow these steps.

Step 1 - Select the location and number of Cells you want to insert in Excel worksheet. You can insert a single Cell or Range of Cells in Excel worksheet, either in rectangle or square shape. In this example, I want to insert six Cells at Range address B4:C6, as shown below.

Step 2 - After selecting the location and number of Cells, right-click on any of the selected Cell and select "Insert" from context menu as shown in below image.

Another way to achieve the same result is by running "Insert Cells" command from Excel Ribbon > "Cells" Group > "Insert" menu button as shown below.

Step 3 - Excel displays its Insert Cells dialog box. There are four radio button options are available in Insert Cells dialog box, as shown in below image.

• If you select first first option ("Shift cells right"), the selected Cells will be pushed to right-side to accommodate new blank cells at that position. You cannot insert new blank Cells, if you select "Shift cells right" and the extreme last Cell (right-side) of the corresponding Rows are not empty. If the corresponding extreme last Cells of the Rows are empty, those Cells are pushed outside the worksheet to accommodate newly inserted Cells.

• If you select second option ("Shift cells down"), the selected Cells will be pushed to down to accommodate new blank cells at that position. You cannot insert new blank Cells, if you select "Shift cells down" and the extreme last Cell (bottom-side) of the corresponding Columns are not empty. If the corresponding extreme last Cells of Columns are empty, those Cells are pushed outside the worksheet to accommodate newly inserted Cells.

• If you select third option ("Enire row"), new blank Rows will be inserted at the position of selected Rows. Existing Rows at the location of seleceted Cells will be pushed down to accommodate new blank Rows at that position. You cannot insert new blank Row, if the Cells in the last Row of Excel worksheet are not empty.

• If you select fourth option ("Enire column"), new blank Columns will be inserted at the position of selected Columns. Existing Columns at the location of seleceted Cells will be pushed down to accommodate new blank Columns at that position. You cannot insert new blank Column, if the Cells in last Column of Excel worksheet are not empty.

In any of the above options, if the corresponding extreme last Cells are not empty, Excel will display error dialog box as shown in below image. The error dialog box clearly states that Excel cannot push non-empty Cells outside the worksheet.

Step 4 - Select any one of the option you require in "Insert" dialog box, and click "OK" button to insert new Cells/Rows/Columns. Here in this example, I want to insert new Cells by pushing the existing Cells down.

New blank Cells are inserted at the selected Range, as shown in below image. Existing Cells are pushed down to accommodate newly inserted Cells.

Step 5 - To understand the concept clearly, I had copied the screen shots of bottom part of the data before and after the insertion of new Cells. Before inerting the Cells, the screen shot of bottom part of the data is as below.

Below screen shot shows the bottom part of the data, after the insertion of new Cells. In this example, we had inserted six Cells (three Rows and two Columns) at Range address B4:C6. You can see from below image that the six Cells (three Rows and two Columns) with borders are the Cells which are pushed down to accommodate newly inserted six Cells above at Range address B4:C6.
